A folder full of presentations may describe a company in detail while leaving the central question unanswered: what does the available evidence establish about this technology, in the conditions that matter to you?

Start with a short decision brief and a small evidence index. That gives a reviewer a way to connect each important claim to its source, understand the limits of the material and identify which unanswered questions could change the decision.

1. Describe the decision and its boundary

Write one sentence explaining what you are considering. For example: “We are deciding whether to run a limited pilot of this document-processing product using our invoice workflow.” Then state what the assessment needs to clarify before that step.

Useful context includes the intended users, operating conditions, dependencies and consequences of a failure. Include the date by which you need an answer, but leave acceptance and delivery timing to the agreed engagement. Separate the immediate decision from a later ambition. Evidence sufficient for a controlled pilot may leave substantial questions about a wider rollout.

2. Turn broad promises into specific questions

List the claims that matter to your decision. Record the wording, who made the claim, where it appeared and when you accessed it. Keep your interpretation in a separate field.

“The product is scalable” leaves too much open. A more useful question is: “What evidence supports the stated throughput for this workload, on this configuration, while meeting the required response time?” An assessment can then examine the connection between the claim and the evidence rather than guessing what the claim means.

Prioritize the questions. If one unsupported assumption would stop the pilot, flag it before collecting more general background.

3. Give each source enough context to be understood

For every document or public link, record its title, date, version, origin and the claim it relates to. A product page, a vendor test report and an independent measurement have different relationships to the claim. Identify those relationships without treating the document’s label as proof of its quality.

For reported test results, look for the setup, workload or sample, comparison baseline, measurement method, duration and failure cases. Include human intervention and exclusions where they affect the result. If those details are unavailable, say so.

For AI systems specifically, NIST’s AI RMF Playbook, MEASURE 2.1 emphasizes documenting test sets, metrics and tools used in evaluation. That supports a practical preparation habit: keep the method with the result. It does not turn this checklist into a NIST certification or establish that a particular product meets a standard.

4. Separate observed performance from the intended use

Write down where the technology was demonstrated and where you expect to use it. Note differences in scale, duration, inputs, integration, supervision and environment.

NASA’s technology-readiness definitions distinguish work demonstrated in laboratory, relevant and operational environments. Those definitions have a particular engineering context, but they illustrate why “a demonstration exists” is incomplete information. The conditions of that demonstration matter.

You do not need to assign a readiness number yourself. A concise description of what was observed, and under which conditions, is more useful than an unsupported maturity label.

An example of a useful claim card

Illustrative example only: the following describes an invented document-processing product, not an Athelguard client or a completed assessment.

Decision: whether to begin a limited invoice-processing pilot.

Claim: the vendor says its system processes invoices automatically.

Available source: a dated demonstration showing clean, typed invoices.

Relevant conditions: the proposed workflow also includes scans, missing fields and exceptions requiring a person’s decision.

Open question: what evidence shows the frequency of exceptions and the human work required under those conditions?

Possible next evidence: a separately agreed trial using authorized, representative test material, with exceptions and intervention recorded.

This preparation does not decide whether the product works. It makes the next question precise and prevents a demonstration from silently standing in for evidence about a different workflow.

<figure class="ag-prep-map" role="group" aria-label="Start with the decision. Each claim is connected to its source and test conditions so supported findings and open questions can be kept separate. Illustrative, not a completed assessment.

5. Include the gaps and contradictory material

Keep a short list of evidence you could not obtain, claims that remain unclear and sources that appear to disagree. Note who could clarify each item, if known, without promising that they will participate.

An unavailable result is a limitation to record. It is not automatically evidence that a claim is false. Equally, several documents repeating the same original statement do not necessarily provide independent corroboration. Trace important claims back to their origin where possible.

6. Check what you can share

Prepare an index before sending a large collection of files. Separate public material from information that needs permission, a different sharing arrangement or redaction. Do not include credentials, customer records or personal information simply because they appear in a screenshot or log.

For Athelguard’s initial request, use public information only. Explain what additional material exists without uploading it or assuming it can be shared. Any later access or confidential-material arrangements need to be discussed separately.

Your preparation checklist

A clear decision, intended use and target decision date.

A prioritized set of specific technical questions.

The original claim wording, source and date.

An evidence index with versions and test conditions.

The differences between demonstrated and intended use.

Known gaps, conflicting information and possible clarification sources.

A check that the initial request contains public information only.

The aim is to make the evidence easier to examine. A scoped assessment still needs to distinguish what is supported, what remains uncertain and what further work would be needed. It does not replace the other commercial, financial or legal work relevant to a decision.

Review the scope of Athelguard’s Independent Technical Assessments, then request an assessment using a public company or product link and the questions you need to resolve. Submission is a request for review, not a purchase or guarantee of acceptance.

Sources checked 3 November 2026.
